Accessing Chapter Reports

To access your chapter reports, follow these steps:

  1. Go to the Chapter Leader Toolbox (alumnitools.byu.edu)
  2. Log in with your BYU NetID. If you do not have access, send your NetId to BYU Alumni Relations with your NetID to request access. If you're having trouble remembering your NetID, you can follow the link provided here.
  3. Under Chapters, open the link: Chapter Reports and Planning
  4. Once you select your chapter, you will be directed to your chapter's page, where you can access your reports.

The First Page - Chapter Reports Home

This page serves as the entry point for the three primary reporting areas. The following information is available on this page:

  1. Chapter Events and Activities: this section displays the current events scheduled by your chapter.
  2. Current Leadership Roster: this section shows the roster of your chapter officers.
  3. Financial Overview for (year): this section displays your chapter's current beginning and ending balance.

You can access each of these reporting areas by clicking on the "Open" button. Alternatively, you can click on "Reports" on the header bar to access them.

True Blue Badges: This section shows the Chapter's current True Blue status. As you complete events from different categories, the corresponding badge will become bold.

Chapter Events and Activities Report

DUE: JANUARY 31 OF EACH YEAR

  1. Build your reports by clicking on the +Add Event button
  2. Fill out the boxes.
  3. Enter everything you do as a chapter; events, activities, coordination meetings, planning meetings, conference calls, etc.
  4. Attendance, # of Volunteers, and Volunteer Hours to be added after the event is complete.
  5. Request all public events be visible on the Chapter web page.
  6. Click the Save button to finish the event entry.
  7. Request an email or registration page be created from the green envelope button in the Actions column.

Current Leadership Roster

DUE: MONTHLY AS ANY CHANGES ARE MADE

  1. Click on the: Edit button to edit each position. Add or change information as needed.
  2. Don’t forget to Save Changes.
  3. Click on the +Add New button to add Auxiliary Positions.

Chapter Financial Report

DUE: JANUARY 31 OF EACH YEAR

  1. Track local finances on an event by event basis and general income and expenses entry
  2. Default is the current year
  3. The Beginning Balance is the ending balance of the previous year.
  4. Open either the “+Add Income Entry” or the “+Add Expense Entry” depending on which type of transaction you have to enter.
  5. Complete the fields in the corresponding pop-up box.
  6. The Ending Balance is totaled every time there is a new transaction during the year
  7. This report may change as we learn more about what the BYU General Counsel and BYU Treasurer require that we report.

Submitting Reports

Chapter Events and Activities Report

  1. The Submit Report button will appear a couple of weeks before the end of the reporting year, (approximately December 15).
  2. When all entries have been made click the button.
  3. Review all entries. Click the Edit Report button to go back and make adjustments.
  4. Once the report is complete click the “Confirm Submission” button to finish the report submission.

Chapter Financial Report

  1. The Submit Report button will appear several weeks before the end of the reporting year, (approximately December 15 of each year.)
  2. When all entries have been made click the button.
  3. Review all entries. Click the Edit Report button to go back and make adjustments.
  4. Once the report is complete click the “Confirm Submission” button to finish the report submission
